Who we are

Aurora Coffee and Vending Services Inc.("Aurora", "we", "us") is a Canadian corporation based at 67 Rodinea Rd, Maple, ON L6A 1R3. We provide office coffee, vending, and water filtration services to businesses across the Greater Toronto Area.

This policy describes how we collect, use, retain, and disclose personal information about visitors to https://auroracoffeevending.com and people who request our services. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect, and why

We only collect what we need to respond to your inquiry and run our services. Specifically:

  • Information you give us via the contact form: your name, email, phone number, company, city, headcount, services of interest, and message. We use this to put together a quote and follow up about your inquiry.
  • Information from phone or email contact: your name, contact details, and what you discussed with us. Same purpose: respond to your inquiry and deliver the service if you become a customer.
  • Standard server and analytics data: IP address, browser type, pages visited, referring URL, approximate location (city-level). We use this to understand site usage, detect abuse, and improve the website. This is collected via Cloudflare Web Analytics (privacy-respecting, no cookies) and Microsoft Clarity (session replay; see below).
  • Anti-spam verification:when you submit the contact form, Cloudflare Turnstile generates a verification token to confirm you're a human. The token is checked server-side and discarded.

We do not sell, rent, or trade personal information. We do not use your information to build advertising profiles.

Service providers we share information with

We share personal information only with service providers that help us run the business, and only what they need to do their job:

  • Resend (resend.com) — delivers form submissions to our lead inbox. Stores message content briefly for delivery.
  • Cloudflare (cloudflare.com) — hosts the website, provides DNS, anti-spam (Turnstile), and analytics (Cloudflare Web Analytics, which does not use cookies or fingerprinting).
  • Microsoft Clarity(clarity.microsoft.com) — records anonymized session replays so we can see how the website performs and where it confuses people. Clarity does not capture sensitive form input by default. You can opt out by enabling "Do Not Track" in your browser.
  • Our CRM — once you become a lead or customer, your contact details and interaction history are stored in our customer-relationship management tool so we can serve you consistently.

Some providers store data outside Canada (typically the United States). All providers are bound to use the data only for our purposes and to keep it secure.

How long we keep it

We keep contact-form submissions and lead correspondence for as long as the relationship is active, plus a reasonable period after for tax, accounting, and customer-service reasons — typically up to seven years. If you ask us to delete your information and we have no legal obligation to keep it, we will.

Server log files are retained for up to 90 days for security and troubleshooting. Aggregated analytics data may be retained longer, but is not personally identifying.

Your rights

Under PIPEDA, you can:

  • Ask us what personal information we have about you.
  • Ask us to correct information that's inaccurate.
  • Ask us to delete information when there's no legal reason to keep it.
  • Withdraw your consent for further use, where applicable.
  • Complain to our privacy contact (below) — and, if unsatisfied, to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Email consent (CASL)

When you submit the contact form, you're asking us about our services — under Canada's Anti-Spam Legislation (CASL), that gives us implied consent to respond about your inquiry for up to six months. If you become a customer, that consent extends for two years from your last transaction with us.

We do not send marketing emails to people who haven't specifically asked for them. Every commercial message we send includes our identity, mailing address, and a working unsubscribe link.

Cookies and tracking

We use Cloudflare Web Analytics, which does not use cookies or fingerprint visitors. Microsoft Clarity uses cookies for session replay; you can disable these in your browser or by enabling "Do Not Track". We do not use Google Analytics, Google Tag Manager, or third-party advertising trackers.

Children

Our services are intended for businesses, not children. We don't knowingly collect personal information from anyone under 13.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of the page reflects the most recent change. Material changes will be highlighted on the homepage or via email if we have your contact details.
