Office coffee for a small office: what actually fits a team under 25
By Sam Foti
Small offices often assume a proper coffee service is only for big companies. It isn't. A team of 10 or 20 people drinks plenty of coffee — the setup just needs to be sized to the room. Here's how I think about it for smaller offices.
Start with how your team drinks coffee
Before picking a machine, answer three questions:
- Does everyone want their own cup, made their way? Or is the team happy sharing a pot?
- Is there a morning rush? If most people show up in the same 20 minutes, speed matters.
- Does anyone want more than regular coffee? Tea, hot chocolate, an espresso drink.
The answers point you to the right machine faster than any spec sheet.
Single-cup pod: the usual fit
For a lot of smaller offices, a single-cup pod machine is the right answer. It's simple: put in a pod, press a button, get one cup. Everyone gets their own drink, there's no stale pot sitting on a burner, and a pod machine can do coffee, tea, and hot chocolate out of one footprint. For a professional office of 15 to 25 people, it fits well.
The trade-off is speed under a rush. A pod machine makes one cup at a time, so if six people show up at 9:05, there's a short line.
When drip makes more sense
If your team mostly drinks regular coffee and doesn't care about options, a traditional drip brewer is hard to beat. It makes a full pot at once, so the morning rush clears in one brew. It's the simple, high-volume choice.
When to skip bean-to-cup
A bean-to-cup machine is great, but it's often too much machine for a small office. If you have 12 people who mostly drink regular coffee, you'd be paying for capacity and variety nobody uses. If your team really does want espresso drinks, it can still make sense — it's just worth being honest about how it'll get used. I compared all three in how to choose office coffee for your GTA team.
Keep the extras simple
In a small office, nobody's job is "coffee person," so the setup should run without anyone thinking about it:
- Supplies restocked on a schedule — cups, sugar, creamers, and tea, so nobody's doing a run to the store. See what we restock.
- Someone else handles the machine — cleaning, descaling, and repairs.
- Filtered water if you're on a brewer — it helps taste and keeps the machine running longer. More in why your coffee machine needs a water filter.
It doesn't have to be complicated
